TropiTrips Cancellation & Rescheduling Policy

We Understand the Plans Don’t Always Work Out

At TropiTrips, we strive to provide flexibility while managing supplier commitments. Whether your plans change due to personal reasons or unforeseen circumstances, we offer a structured cancellation and rescheduling policy to ensure clarity and fairness for all our customers.

Cancellation Policy

    • Free Cancellation (excluding airfare): If the cancellation is made 60 or more days before departure, you can cancel the package and get a refund after deducting a nominal service charge.
    • 30 to 60 Days before Departure: Receive 70% refund (excluding airfare) of the total package cost.
    • Under 30 Days before Departure (15–29 days): Receive 50% refund (excluding airfare) of the total package cost.
    • Under 15 Days to 10 Days before Departure: Receive 35% refund (excluding airfare) of the total package cost.
    • Under 10 Days before Departure: No refund available.
    • No Show: No refund will be provided in case of a no-show on the day of departure.
    • Important Clause – Non-Refundable Once Tour Has Started: Once the tour has commenced and even a single day of the itinerary has been executed, the entire tour becomes strictly non-refundable under any circumstances. This applies regardless of the reason for early termination, personal emergencies, changes in travel plans, or dissatisfaction with services. The policy reflects the prepaid commitments made to hotels, transport, and activities, which cannot be recovered once the trip starts.

Rescheduling Policy

We recommend rescheduling over cancellation wherever possible, as it provides better value to customers and allows us to manage supplier commitments efficiently.
    • Free Rescheduling (excluding airfare): If rescheduling is requested 60 or more days before departure, we allow free rescheduling without any service charges.
    • 30 to 60 Days before Departure: Receive a 90% credit note (excluding airfare) that can be used toward future bookings.
    • Under 30 Days to 15 Days before Departure: Receive a 75% credit note (excluding airfare) toward a future trip.
    • Under 15 Days to 10 Days before Departure: Receive a 50% credit note (excluding airfare) toward a future trip.
    • Under 10 Days before Departure: Rescheduling is not allowed.

Airfare Cancellation Policy

Airfare booked through TropiTrips or Airfare included for internal transfers is subject to different terms because of the nature of airline ticketing and supplier agreements.
    • Non-Refundable Block Fares & Budget Airlines: Most airfares are non-refundable or come with strict fare rules.
    • Air tickets are often booked immediately after receiving a confirmed booking.
    • Budget airlines typically offer zero refund policies.
    • Cancellation Charges for Airfare: In case of package cancellation (even 60+ days in advance), the customer will be charged:
    • The actual airline cancellation fee, plus
    • A fitilation fee charged by TropiTrips.

All airfare cancellation charges are applied at actual cost, with no additional markups, and are deducted from the refund or charged directly.

Cancellation by TropiTrips

If TropiTrips cancels a trip due to unforeseen circumstances, a full refund will be provided. In some cases, alternative arrangements or rescheduling options may be offered.

Force Majeure

TropiTrips is not liable for cancellations or changes caused by unforeseen events such as natural disasters, government regulations, pandemics, or other events beyond our control. In such cases, we will strive to offer rescheduling or alternative options.

Refund Processing

    • Processing Time: Refunds will be processed within 14-21 business days after the cancellation request is confirmed.
    • Mode of Refund: Refunds will be credited to the original mode of payment unless otherwise agreed upon.

Amendment Policy

    • Customer-Initiated Changes: Any changes to the booking, including travel dates, destinations, or services, will be subject to availability and additional charges.
    • Company-Initiated Changes: If amendments are necessary due to operational reasons, TropiTrips will inform customers promptly and provide suitable alternatives.

Important Notes

    • All refunds or credit notes exclude airfare costs.
    • Credit notes are valid for 1 year from the original travel date.
    • Customers are advised to check their travel insurance policies for additional coverage related to cancellations.
